QuoteRally Adds Automatic Email Follow-Ups for Unsigned HVAC Estimates
Contractors review three emails once, start a sequence, and keep homeowner answers together; the first three estimates are free, with no card required
MINNESOTA — October 2026 — QuoteRally, an estimate follow-up tool for owner-run residential contractors, now offers automatic email sequences after the contractor reviews the messages, timing and customer details. The update gives HVAC businesses a way to follow up on requested estimates without returning to the app to send every later email.
An unsigned estimate does not explain why a homeowner has not decided. There may be a question about equipment, scope, warranty or timing. QuoteRally focuses on the next conversation: sending a useful check-in and giving the homeowner a simple way to say where things stand. It does not create estimates or replace the contractor’s estimating software.
Review once, then follow up by email
The contractor starts by adding an existing estimate. QuoteRally supports manual entry, CSV upload, pasted rows with a preview, and reviewed details from a PDF. Before enabling an email sequence, the contractor reviews all three messages and their dates, confirms permission to contact the homeowner, and chooses whether the first email sends immediately or is scheduled.
The later emails then send automatically. The default check-in schedule is days 1, 4 and 10, with editable timing. The contractor can pause a sequence, and an opt-out stops automatic sending. Contractors who prefer texting can still open each prepared draft on their own phone, review it, send it themselves and confirm that it was sent. Texting is not automatic.
Homeowner answers guide the next step
Follow-up messages include a reply link that works without a homeowner account. The homeowner can choose “Ready to schedule,” “I have a question,” “Still deciding” or “Going another way,” add details and submit the answer.
A ready-to-schedule answer or question stops the remaining check-ins and brings the answer to the contractor’s attention. “Still deciding” can move the next check-back to about a week later. The contractor remains responsible for the conversation, answering questions and closing the job. QuoteRally records outcomes the contractor marks; those records do not establish that follow-up caused a sale.
Works alongside the existing estimating process
Contractors continue creating proposals in the software they already use and add the relevant open estimates to QuoteRally. Native automatic CRM synchronization is not currently available for customer use. The product is intended for businesses that need a separate follow-up routine; a business already getting reliable follow-up from its existing software may not need another tool.
First three estimates free
A contractor can create an account without a card and send the check-ins for the first three estimates free. Continuing beyond that allowance costs $49 per month per business, with unlimited estimates, no contract and cancellation available at any time. The first payment carries a 30-day money-back guarantee.
Founder Jake Lee offers free setup help to contractors who want assistance loading their first estimates and reviewing the messages. The offer does not depend on purchasing a setup package. Product details and the free starting allowance are available at
